Dear Ms. Botero:
This is a Letter of Agreement ("Agreement") between the Area Health Education Centers (AHEC) Program, Dr.
Barbara E. Richardson, Program Director, and the Health Science Center Library (HSCL), Cecilia Botero, Interim
Associate Dean and Director.
AHEC will financially support the HSCL for a fixed amount of $30,000.00. The Office of Research and Graduate
Programs will decrease the AHEC funds (DOH Contract # COTX1, UF Project # 00082366) by a sum of
$30,000.00 and establish an account for the benefit of the HSCL for the said amount at such time this Agreement
is fully executed. The funds shall be expended by June 30, 2010.
The purpose of this Agreement is to fulfill the AHEC Program goals and objectives as outlined in the attached
Statement of Proposed Work, hereby incorporated by reference to this Agreement, during the period of July 1,
2009 through June 30, 2010. If AHEC's funding should be reduced or terminated by the Department of Health
during the performance of this subproject, AHEC may in written notice to subproject recipient amend this
subproject upon reasonable notice consistent with the changes to the prime award.
If this Agreement is acceptable to you, please sign all three copies, submit the enclosed DSR-1 Form to your
grants person for completion as a service agreement, and then forward all of the documents to Vicki Crafton-
Zinn's office by calling 273-7007 and requesting courier pick-up. A fully signed copy of the letter will be

Statement of Proposed Work 2009-2010
Coordinator of Services:
Linda Butson, Assistant Director for Access Services, is the Liaison to the UF AHEC (AHEC)
program. She will represent the Health Science Center Libraries (HSCL) to AHEC and AHEC to
the HSCL. HSCL librarians including librarians from the Borland Library in Jacksonville will
assist in the delivery of services and technical assistance. Borland librarians will focus on the
Northeast Florida AHEC area.
The Health Sciences Center Library will provide the following services to each of the four North
Florida AHEC centers:
Reference Assistance/Mediated Searching:
Provide reference assistance and database searches as requested. Confer with clients as
needed and provide resulting bibliographies with abstracts.
Maintain the 2008-2009 level of reference/databases searches provided to AHEC. (45
Facilitate requests for the document delivery of items owned by UF. When owned, delivery
is usually within two working days of receipt. If not owned by UF, request items from other
universities and deliver within 7-10 working days.
Maintain the 2008-2009 level of DD service. (74 documents/ websites)
Encourage electronic submission of requests through Loansome Doc and delivery via PDF
forms and email.
Communicate with AHEC Centers regularly.
Provide bibliographies/citations recently added to PubMed on topics identified by AHEC staff
including, hookah, health careers, tobacco use prevention and education.
Visit the AHEC Centers to orient staff to the HSCL AHEC services and the training
opportunities for agencies, departments and individuals that have been identified by the
AHEC as desiring education and assistance with using information services.
Explain available services and request procedures.
Orient AHEC staff to free resources on the web: medical journals, PubMed and Loansome
Doc services. Encourage saving searches which will run automatically.
Identify unique needs of clients in each Center's geographic area.
Identify electronic resources that are available to AHECs free and for fees.
Provide consultation to AHEC staff on information needs for special topics, projects and
Explore the development of specialized subject-oriented web sites for links to AHEC and
Maintain communication with UF AHEC preceptors: Promote their use of library resources.
Explore training opportunities for PubMed and Loansome Doc. Facilitate preceptor access
to UF Library resources. 2008 enrollment is 15 preceptors.
Assist with grant identification for the AHEC activities. Identify grant opportunities to benefit
the AHEC- Library partnership and for Network activities. Forward NNLM opportunities to
Assist with the copyright process and obtaining copyright permissions.
Work with AHEC centers on tobacco and other initiatives as they arise
Represent AHEC on the Florida Consumer Health Information Network Steering Committee.
With AHEC Centers, offer information skills training for public health in UF AHEC region.
Offer training in the use of Internet Resources including: free full-text medical resources on
the web, PubMed, MedlinePlus, Loansome DOC and sources of evidence-based practices
in each of the AHEC centers. Collaborate with AHEC Center staff to identify audiences and
sites, establish training dates and schedule training in each region. Modify the content of the
training sessions to meet the needs of the AHEC Centers and health departments.
Library instruction classes developed and taught at the HSCL may be offered in response to
the requests from the four AHEC Centers. Specialized instruction may include: Internet
resources for school health nursing and environmental health professionals. HSCL
librarians will be involved in presenting these sessions.
The number of training sessions proposed will vary according to needs identified by each
center. Travel is paid by AHEC upon approval by Program Director.
Provide training to UF AHEC Health Care Summer Institute participants in identifying health
career information and financial aid resources available on the Internet. (Session held July
3, 2008 and 7/16/2009)
Provide Evidence Based Practice searches to support the continuing education programs
provided by AHEC as requested.
Target state organizations in primary care disciplines and promote Internet training for public
health and exhibit library services. Work with AHEC Centers and other AHEC librarians to
prioritize the organizations where exhibits will be presented.
Develop exhibits, bibliographies, webliographies, etc. in conjunction with AHEC educational
opportunities as requested. Target activities that are offered in all AHEC regions.
Work with AHEC Centers to promote information skills by practitioners through
presentations at conferences.
