Gifts & Exchange


he University of Florida Libraries receive
over a thousand donated gift books per
month. Donations of current and schol-
arly journals which are used to replace missing
issues in the collection are also welcome.

Gift Donations
The gifts program accepts, distributes, and
routes a large amount and variety of gift materi-
als donated to the libraries. In FY 2001/02, Gifts &
Exchange accepted and processed over 4,500
books and over 750 serials, from which over
2,000 books and 750 serials were cataloged and
added to library collections. The bulk of the
remaining items were donated to other libraries
or sent to the Smathers Library Bookstore. The
exchange program is one of the largest and most
successful programs in the United States. It has
been an ongoing program for more than 50 years
and over the past few has included exhibition
catalogs from a joint exchange collaboration with
the University of Florida Harn Museum.

How to donate
Contact the Gifts staff by phone, fax, or
e-mail. If the materials are considered suitable
for a research library, the Gifts staff will arrange a
pick-up. Off-campus gift pick-ups are possible,
especially in the city of Gainesville, but are based
on the quality and size of the donation. Once the
gifts have been received, the donor will receive an
acknowledgement letter. This letter is for the
donor's records and may serve as a receipt for
income tax purposes.

Tax Information
Donors who wish to use their gifts to the UF
Libraries as deductions on their income taxes may
do so by law. It is the policy of the UF Libraries to
send every donor a letter of acknowledgment which
includes a simple description of the contents of each
gift. Letters of acknowledgement are considered offi-
cial receipts by the IRS and provide excellent docu-
mentation for tax deductions. Donors must use
Form 8283 (non-cash charitable contributions) for
declaring all material gifts. Gifts with a fair market
value of $250.00 or more (as declared by the donor),
require the donor to substantiate the gift with a
receipt and/or letter of acknowledgment. Gifts
declared with a value exceeding $5,000.00 require a
donor to arrange for a "separate qualified appraiser'
to document the contents of the gift and set the fair
market value.

The Exchange program establishes and main-
tains exchange arrangements with associations,
institutions, museums, publishers, and universities
worldwide. Exchange agreements are set up based
on the need of the title, determined by the subject
collection manager, and by the cost-effectiveness
of the exchange, determined by the gifts & exchange

In special circumstances bookplates bear-
ing the name of the donor or the donor's fam-
ily can be affixed to gift books. The UF
Libraries offer specially designed bookplates
for endowed purchase funds which have been
established with the University of Florida
Foundation. These endowed funds are a way to
create a perpetual annual income to help build
the collection designated by the donor. The
interest earned from the accounts is used to
purchase new books and other materials for
the UF Libraries. For further information

Smathers Library Bookstore
The Smathers Library Bookstore opened its
doors in August 1999. The materials sold in the
bookstore are gift items that were not added to
the Libraries' collections. The money generated
by the bookstore is used by the Smathers
Libraries to purchase new books and other
materials for the collection. Items not selected
are either titles already owned by the Libraries,
or are deemed unsuitable for use in this large
academic institution by the Libraries' collection
managers. No withdrawn library materials are
sold in the bookstore, and all donors are asked at
the time of their donation if their gift items may
be sold in the bookstore. If a donor rejects the
idea of the Smathers Library Bookstore selling
their unselected gift items, the unselected gifts
are returned to the donor.
