Tolomato Cemetery Preservation Association, Inc. St. Augustine Florida Board of Directors Monthly Meeting 2:00 pm June 9 2011 Minutes Present: John Garafalo, Ni ck McAuliffe, Elizabeth Gessner; Matt Armstrong Mary Jane Ballou, S ister Thomas Joseph McGoldrick Reading and Approval of Prior Minutes Minutes previousl y sent out were accepted. Reports: 1. ( report read by Elizabeth Gessner accident ) on bank account and membership (Balance $1494.08; 39 members) 2. Elizabeth Gessner reported on the icon lamp and the completion of other projects. Old Business: 1. John Beaty has not been reimbursed because nobody has his mailing address. Matt will see if he can find one. 2. Storage shed: Elizabeth will order the shed from ACE or Home Depot and call Kevin and other strong people and get it moved and assembled at Tolomato next week. Nick, Matt and Elizabeth will meet at Tolomato Monday to take up the buried ironwork that is under the site for the storage shed. 3. Icon lamp installed Elizabeth will send a photo to Fernando the iconographer 4. The flagpole holders were used at the Cathedral, but we should order a couple for placement on the front of the Varela Chapel to be used for special visits. New Business: 1. M att Armstrong gave an excellent slide presentation on the NCPTT Historic Ironwork Workshop that he attended in May. The presentation will be available i n the on line archives, and we have decided to set preservation goals. 2. Matt discussed Kickstarter, a we bsite that provides a fundraising engine. We would develop a project (such as getting water at the cemetery) and post the Ki ckstarter link on all of our ou treach sites: website, blog and the Facebook page to be developed by Matt and Mary Jane Ballou. a. The first step will be to set up the Facebook page. b. John Garafalo will contact the city about finding or identifying water sources at Tolomato, and we will find out the feasibility of and how much it would cost to get water running there again. c. We will then pu t together a cost and a time frame for the project and start a Kickstart fund for it, which we will link to all of our web presences.

3. June 29 th Presentation: a. General observations: From 6 8 pm. Weds. June 29 is the Feast of Sts Peter and Paul, so there w ill be Vespers at the Cathedral at 7 pm and this may limit some attendance. i. Members may bring as many guests as they wish. Guests should arrive with members, or be able to give the name of a member to identify them. ii. We will see if we can hire a police of ficer for control of the gate. attempting to come in. iii. We will get some chairs from CPS to be placed around the front of the chapel iv. The talks (about 20 minutes each) will be given by Nick McAulif fe (Tolomato historic photos), Elizabeth Gessner (1811 Tolomato Plan) and Matt Armstrong (Preserving Tolomato for the Future). 1. Matt will encourage people to sign up to donate either time or materials to our preservation work. 2. At the end of the presentation s, there will be sign up sheets and membership forms available. v. Docent Sue Howden suggested that people need more than just the brochure to take away with them: Elizabeth will develop a sheet on our preservation activities and circulate it among the attend ees today for comments, and this will be given to the June 29 visitors. It will be based on the sign brought back by Louise Kennedy from her recent visit to historic cemeteries in the Caribbean. vi. We will provide water and possibly iced tea as refreshments vii. Most of the talks will move from place to place, so a large number viii. MJ Ballou will play the harp on the porch. ix. Docents will stand at various points, either to prevent visitors from getting into dangerous areas or to provid e more information. x. Elizabeth is trying to get a reenactor or two. xi. We will have torches to add atmosphere. xii. Elizabeth will develop the final invitation e mail, circulate it for approval, and send it to members next week. She will follow up a couple of days before the event. xiii. Elizabeth will write a letter inviting the bishop. Next Meeting Date: July 8, 2011 (tentative) Adjourn ed : 4:00 pm
